Method 3: Save Outlook emails as PDF using Microsoft Word

Available for all Windows versions

For Windows versions earlier than Windows 10, you can use another way to export Outlook messages to PDF. Basically, you first export emails to HTML, then convert it to PDF.

Here is the detailed step-by-step guide:

  1. In Outlook, open the e-mail message you want to save as PDF.
  2. On the File tab click Save as.
  3. In the Save as dialog, specify the folder and the filename of the file.
  4. In the Save as type box choose HTML.
  5. Click Save.
  6. Now, run Microsoft Word and open the HTML document you just saved using the File > Open menu.
  7. Click the File > Save as menu.
  8. In the Save as dialog, select PDF in the file type dropdown.
  9. Click Save.

This way to export Outlook emails is simple and universally available, but still you’ve got to convert each message manually. Also, you need to manually create a folder before exporting emails there.

Good morning! I’m trying to convert emails from my PST file to PDF with your trial version. Unfortunately, the enclosures (attachments) are not converted with the mails. Can’t your software do this or am I doing something wrong?

The software is saving attachments to PDF if the option “Add email attachments to PDF” is active. If you do not see the attachments in an opened PDF file, perhaps your viewer does not support this.
You may need to use the Adobe PDF Reader to see the email attachments saved to PDF file.
